What is the difference between services, targets and R&Rs?
Services are what the program provides to its clients. An individual or a group can be recipient of a service. For example, Agency A would track the number of mental health screenings provided as a service. Targets are attainable milestones to be achieved by the Program. These can reflect the progress of clients or programmatic accomplishments. For example, Agency A would track the percentage of children identified and referred for mental health services as a target. R&Rs (Results and Responses) are tools that capture survey responses. For example, if Agency A uses the Ages & Stages Questionnaire as its screening tool, they would enter responses this questionnaire in the R&R section. Go To Top
How do I know what services, targets and R&Rs are pre-assigned to my contract?
Click on Scope of Work and Evaluation Profile link on your GEMS Desktop to review the services, targets and R&Rs that are assigned to your contract. These are available under the contract services, contract targets and assigned R&R tabs respectively. Please note that each of these is specific to your contract. If you feel that they do not align with your contract, please contact your PFC representative for more information.

I am not seeing the service definitions in my profile and they are a part of my contract. Why is this occurring?
The possible reason is that they have not been assigned to your contract by the PFC staff. In this case, call your representative at the PFC to get more details.

When I am entering services, how do I know what to enter in the Number of Units field?
The Number of Units field is where you enter the amount of units served as defined in your scope of work (minutes, hours, etc.). Be certain you are entering numbers for the correct unit of measurement or your Quarterly Report will not accurately reflect the units served for your services.

How do I edit the GEMS Defined Family ID when entering data and what is the Alternate Program Defined Family Id?
The GEMS Defined Family ID is system generated and can not be changed. The Alternate Program Defined Family ID is one in which you may choose an alternate name or identifier for that family which will help you to easily identify that client. The same is true respectively for Parent/Guardian Id & Alternate Program Defined Id; Child ID & Alternate Program Defined Child Id; and GEMS Defined Provider ID & Alternate Program Defined Provider Id.

How do I edit the Parent/Guardian's name in the header panel when I am entering data in the screen below?
You cannot edit records in the header (top) panel. The header panel is only for identifying the currently viewed record. You can edit information only in the details panel (the panel below the horizontal split).

How do I know where to enter service details: under the Child 0 - 5 tab or under the Family Services tab?
Currently, PFC does not require you to report on services provided to a family as a whole. PFC wants you to report on services given to each of your clients (if core) or to aggregate clients (if non-core). Information in your Scope of Work and Evaluation Profile will also clarify who you are expected to serve.

What is the difference between Quick Reports and Advanced Reports?
Quick Reports are reports designed to provide results quickly in a two-step process. You can see quick "System Wide" results as a table and as a chart. Advanced reports are designed to provide more specific and filtered results. You will still see "System Wide" results as a table and as a chart but you can customize both the data set and the chart layout. This is possible since Advanced Reports allow you to apply parameters to the reports. You can access both these type of reports from the GEMS Desktop.

I do not see any zip code mapping of my data through the GIS reports link in GEMS. Why?
You may not see your data mapped on a GIS report because you may have chosen countywide as an option while selecting the city and zip code location for services provided. GEMS cannot provide zip code mapping without specific serviced zip code information.

Where can I find some tutorials on entering data in GEMS?
You can click on the View GEMS Training Video hyperlink on GEMS Desktop to access a directory of tutorials. The video files are automatically loaded in Flash. Flash is a browser-plugin for running multi-media files. All browsers now come with Flash. However, if you have an older version of the browser, GEMS will direct you to a link where you can download it.

How can I update my user account information?
To modify or edit password for your account, click on Your GEMS User Account hyperlink on GEMS Desktop. Click on the edit toolbar to modify information as desired. Click on Change button to change your password and click on save toolbar to commit changes.
